In short: The Calendar module brings together your scheduling tools and customizable settings, making it easy to plan and reschedule tasks and events from one place. Access it from anywhere in Timebook, add events quickly, navigate dates and timeframes, and tailor the view to match your preferences. You can also subscribe to external calendars, so everything you need stays organized in one place.
The Calendar module is a flexible tool for managing your schedule, combining event planning, work organization, and automatic scheduling in one place. It includes that lets you truly work from your calendar by dragging tasks directly onto the calendar grid, allowing you to make them part of your schedule. This integration provides a clear view of your day and helps you manage both scheduled events and actual work from a single, accessible view.
The Calendar module is always accessible through the Navigator, making it easy to manage your schedule no matter where you are in Timebook. With just one click, you can open your calendar from anywhere in the app, keeping your events and scheduled work within reach. This ensures that you can quickly check availability, add new events, or adjust your plans without interrupting your workflow.
Adding events to your calendar is quick and straightforward. You can simply click on a time slot on the calendar grid to start creating an event or use the [Fast create] button instead. While specific event types—like Meetings, Polls, and Shared Availability—are explained in detail in dedicated articles, these basic options allow you to start scheduling right away.

When you open the Calendar module, it automatically displays the current day or time period, so you’re ready to start planning immediately. To view past or future dates, use the date picker in the top-left corner of the screen, which provides several navigation options:
Today
Click this button to return to the current day or time period, no matter how far you've navigated.
Calendar icon
Open a mini calendar widget to quickly jump to any specific date.
Left arrow
Move to the previous day or period (for example, previous week or month, depending on your current view).
Right arrow
Advance to the next day or period, helping you review upcoming commitments or future availability.
The scope setting in the Calendar module allows you to control how many days are visible on your calendar grid so you can adjust your view to focus on what’s most relevant. Located just above the grid as either a selector or a dropdown menu (depending on your window size), the scope lets you switch between different time frames for optimal planning.
Here’s a quick overview of how scope works:
Week or Month
Use these options to get a broader overview of your schedule, helping you see all upcoming events and commitments at a glance.
Day
Customize this view by selecting a specific number of days in advance, allowing you to focus on a shorter time frame and prioritize your immediate tasks.
Agenda
This view displays an ongoing flow of days, letting you scroll continuously through upcoming events. This view also shows gaps between scheduled items, making it easy to identify available free time slots.
You can quickly change the scope of the Calendar module using keyboard shortcuts:
[D] to switch to 1-day view.
[W] to view the week.
[M] to view the month.
[A] to open the agenda view.
[1–9] to display a specific number of days in advance.
The Calendar module includes various quick settings that allow you to customize how your schedule is displayed. These options help make the Calendar more intuitive and aligned with your personal work style, so you can get the most out of your planning.
Click [Calendar settings] in the top-right corner to access the options described below:
Work hours
Highlights your availability by showing different background colors for work and non-work hours on the calendar grid when enabled.
If turned off, the grid uses a single background color.
Appointments & Shared Availability
When turned off, these slots are hidden.
Declined events
Displays any events you have declined.
If turned off, declined events are hidden from view.
Weekends
Available only in the [Week] or [Month] views.
This option shows or hides Saturdays and Sundays on the calendar grid.
Cover image
Displays the image you use as a calendar cover above the grid.
If turned off, the cover image is hidden.
Secondary time zone
This toggle shows an additional time zone column to the left of your calendar grid. Click the heading of this column to select a secondary time zone.
When turned off, the additional column is hidden from view.
The [Calendar preferences] option at the end of the settings list takes you to your general Timebook preferences.
Here, you can set broader rules for your Calendar module, such as defining your work hours, choosing a time format, or setting a default duration for Meetings.
In the Calendar module, you can subscribe to multiple calendars to track events from different sources. You can view the calendars of other Timebook user or add publicly available ones via their URL address.
To show calendars of other Workplace members:
Click [+] next to the [All calendars] heading and select [Show someone's calendar].
Start typing to see matching names, or use the dropdown to see the complete list of people in your Workplace.
Select the person whose calendar you want to subscribe to, and press [Show] to confirm.
We will add this person's calendar to the [All calendars] section of your [Calendar settings]. You can see its events on the grid.
All Workplace members can define how much calendar data they want to share. You can do it in the [Calendar data] section in Calendar preferences
To add a calendar using its URL address:
Click [+] icon next to the [All calendars] heading and select [Add a calendar via URL].
Enter the URL address in the space provided.
Press [Subscribe] to confirm.
The new calendar is added to the [All calendars] section of your [Calendar settings]. You can see its events on the grid.
Calendar subscriptions imported via URL are typically read-only. You can view the events, but you may not be able to edit or delete them from within Timebook.
You can control how much calendar information you see on the grid. To show or hide a particular calendar, use the checkbox to the left of the calendar's name. Other management options are hidden under the [...] menu to the right of each subscribed calendar:
Focus on a single calendar
If you have a long list of calendars, click the [...] icon to the right of one of them and select [Show this only] to focus entirely on that calendar.
Unsubscribe from a calendar
To unsubscribe from a calendar, open the [...] menu to the right of the calendar, select [Unsubscribe], and confirm by clicking [Unsubscribe] again.
Change calendar color
You can assign different colors to different calendars to boost the visual experience of the whole module.
To do that, use the [...] icon to the right of a calendar, select [Calendar color], and pick the one you like best. The selected color will now be the background color of all events of this calendar.
