In short: Events in the Calendar module help you organize all types of scheduled activities, from Meetings and Appointments to Focus Time and Work Items. Each event appears as a card on the calendar grid, allowing for easy management—simply drag and drop to reschedule, or open the card to adjust details.
An event in the Calendar module is any scheduled activity that appears on your timeline. These include various types of commitments, such as Meetings, Shared Availability, and Focus Time, as well as scheduled Work Items that represent your actual tasks within the Calendar module.
Each event is represented as a card on the calendar grid. These cards can be easily moved to adjust scheduling or opened to reveal their details, such as participants, notifications, or related notes. This visual and interactive approach keeps your schedule dynamic and straightforward to manage.

Event cards are the visual representation of your scheduled activities on the calendar grid. Each card displays key details at a glance, such as the event title and time. Clicking on an event card opens its full version, where you can access and edit all the event’s properties, including participants, notifications, and notes.
There are several ways to create events in the Calendar module. One of the most intuitive options is using the calendar grid, where you can select the desired time and duration for your event while scheduling it. This method allows you to plan your activities in context, ensuring they fit seamlessly into your existing schedule.
To create an event directly on the grid:
Click anywhere on your calendar grid.
Select the type of event you want to create. See below for links to dedicated articles providing detailed information about each type of event.
A card representing your new event will appear on the grid. The event card will also open in full size, allowing you to define its details.
There are other ways to create events in Timebook, such as the [Fast create] button in the Navigator or [Share] and [Meet] buttons above the grid. Explore all the options to find the most convenient one.
The calendar grid helps you reschedule your events with little effort. You can adjust the dates and times of your scheduled events with a simple drag-and-drop, whether you’re the host or a guest. Rescheduling events in Timebook is straightforward:
Drag and drop: Move an event across the grid to reschedule it.
Adjust duration: Resize an event card by dragging its lower edge to extend or shorten the duration.
When making changes to events on the grid, there are additional actions based on your role:
As a host: After making a change, you’ll have the option to notify your guests. Simply check the [Notify guests] box in the confirmation pop-up.
As a guest: After making a change, click [Propose] on the resulting pop-up. You will then see a modal showing the host's calendar. Select a new time for the event and, optionally, attach a message. Click [Save] to confirm your changes and send your proposal.
All-day events are ideal for tasks or commitments that span a full day or when the exact time is uncertain. Use this option for activities you expect to last a long time or when you need to complete something on a specific day but can’t predict the exact start or end time.
To keep the calendar grid organized, all-day events are displayed in a dedicated section at the top of the grid rather than as long tiles stretching across the entire day in your calendar. This ensures they remain easy to access without cluttering your timeline.
To create an all-day event:
Click anywhere in the all-day section of the calendar grid.
Choose the type of event you want to create. You can select from Meeting, Work Item, or Out of Office.
Your new event will appear in the all-day section, visible at the top of the grid. All-day events stay pinned at the top of your calendar, so they remain visible even when you scroll through your daily schedule.
By default, all-day Meetings and Work Items are marked as free, allowing others to book your time.
To prevent this, open the event card, locate the [Show me as] option, and set it to [Busy].
Meeting

Set a series of one-on-one meetings with flexible time slot options.
Poll
Use polls to find a suitable meeting time that works for all participants.
