In short: Appointments allow you to set weekly availability slots, enabling others to book Meetings with you through a shared link. This feature is ideal for professionals with regular availability, such as specific hours on certain days. By defining your availability and sharing the generated link, others can schedule Meetings on a first-come, first-served basis.
Appointments let you set recurring time slots in your schedule, making it easy for others to book time with you. Whether you’re offering regular consultation hours or team check-ins, Appointments streamline the process by letting you share a simple booking link. This feature is perfect if you are always available on Monday and Wednesday afternoons from 1:00 PM to 4:00 PM, for example.
Appointments are recurring weekly slots that allow others to book multiple Meetings over time.
Timebook also has the Shared Availability feature, designed for single-use bookings via a link others can use to schedule a Meeting with you. For more information, see Shared Availability
Creating an Appointment is quick and straightforward. You’ll define your weekly availability, decide whether to include an optional end date, and generate a unique link. Once shared, others can schedule multiple Meetings with you based on the availability you’ve set—first come, first served.
You can display your open (not yet booked) Appointment slots on the calendar grid by enabling this feature in the Calendar module settings.
Appointments are managed in the Calendar module, where you can create them directly on the grid. This approach simplifies scheduling by allowing you to see and select the first time slot you want to share.
You can also initiate Appointment creation using one of these methods:
Click the [Fast create] button in the Navigator, select [Event], and then [Appointment].
Click the [+] button above the calendar grid and select [Shared Availability].
To create an Appointment on the calendar grid:
Click a time slot on the calendar grid, or drag to select a longer period.
In the menu that appears, select [Appointment].
Give your Appointment a meaningful name. This name will be used for all the Meetings created from this Appointment.
Use the grid to add and move additional time slots for booking. The time slot you initially selected will already be marked on the grid.
Customize your Appointment using the available properties. See below for more information.
Click [Create] to finalize. Then, choose your preferred method of inviting your guests by selecting either [Send email] or [Copy link].
Open Appointment slots appear on the calendar grid as cards with a transparent background until a guest makes a booking. You can open one of the cards to edit the entire Appointment or delete it if needed.
Once a booking is made, the corresponding Appointment slot is replaced by a Meeting card.
If you receive an Appointment link—directly or via email—you can use it to schedule a Meeting quickly. Review the available time slots, select the one that works best for you, enter your contact details, and confirm the booking. Once completed, the Meeting will be added to your calendar and the sender’s, ensuring everything is scheduled with little effort.
To book a Meeting with an Appointment link:
Open the link you received from the person who created the Appointment.
From the list of options, select the time slot that works best for you and click [Schedule].
On the next screen, enter your name and email address. Click [Book] to confirm. A 1-to-1 Meeting will be created with the person who sent you the link at the time and date you selected.
Use the [Add event to my calendar] dropdown to choose your preferred calendar app and add the Meeting to your schedule.
Once a guest books a time slot, Timebook will create a Meeting at the selected time.
But all the remaining Appointment slots can still be used by others to book more Meetings with the host.
But we also have additional properties designed specifically for Appointments:
No end date
With this option turned on, your Appointment becomes an ongoing event that allows guests to book your time well into the future.
When you turn this option off, you can use a date picker to set up an end date for bookings.
Availability
This is where you can define available time slots for your guests to book. Click [Add] to create a new slot, and then specify the day of the week and the start & end times.
You can also use the calendar grid on the left to create your availability slots.
Appointment duration
Use this option to define the duration of a single Meeting that can be booked through this Appointment.
The time slots you selected for this Appointment will be divided into segments of this length.
Add breaks
Use this option to save time for breaks between Meetings within Appointment slots.
The default here is [No breaks], but you can select a different option using the dropdown menu.
Book no sooner than
Use this option to make sure others don’t book your time too far in advance.
The default here is [3 months ahead], but you can select a different option using the dropdown menu.
Book no later than
Use this option to make sure others don’t make last-minute bookings.
The default here is [10 minutes before], but you can select a different option using the dropdown menu.
