Open your weekly availability to others and invite them to book Appointments with you.

Share your weekly availability

You should consider Appointments if you have a time slot you regularly use to meet with different people. Imagine a doctor being available for her patients between 1 and 5 PM every Monday and Wednesday; she would definitely use the Appointments feature.

All you need to do is define your weekly availability, set an end date (optionally), and copy the link generated for your Appointment. Others can then use the link to book an Appointment with you on a "first come, first served" basis.


Create an Appointment

To create a Meeting in the Calendar module:

  1. Press the [+] button in the top-right corner and select [Appointment] from the list of events.

  2. Name your Appointment. We will use this name to create all individual Appointments in this series.

  3. Use the grid on the left to define your weekly availability. Press to add time slots, drag the lower edge of a tile to extend the duration, or drag and drop a slot to a different position.

  4. Use available settings to customize the Appointment. We explain the Appointment-specific options at the end of this article.

  5. Press [Create] to save your Appointment.

  6. You can now [Send email] to your guests or [Copy link] that your guest can use to book an Appointment with you.

You will receive a notification whenever someone books an Appointment with you. Booked Appointments will also show as tiles in your Calendar.

You can also create an Appointment by pressing anywhere on the Calendar grid.

The selected time becomes your first "availability slot", but you can edit or remove it later.

Book an Appointment

If you received an Appointment link (directly or in an email), you can select one of the suggested times, provide your contact details, and book an Appointment with the person who sent you the link.

To book an Appointment:

  1. Open the link you received (directly or in an email) from the person who created this Appointment.

  2. From the list of options, select a single time slot that is most suitable for you.

  3. On the following screen, provide your name and email address.

  4. Press [Book] to confirm. We will create a 1-to-1 Meeting with the person who sent you the link at the time and date you selected.

  5. You can open the [Add event to my calendar] dropdown and select your preferred calendar app.

Once your guest books a time slot, we will create an individual Appointment for them.

But all the remaining slots can still be used by others to book more Appointments with you.


Appointment options

You can use some of the when customizing your Appointments. But there are also settings dedicated to Appointments only.

The following settings are specific to Shared Availability events:


[No end date]

Use this option to turn your Appointment into an ongoing event.

ON: Allow guests to book your time well into the future.

OFF: Enable the end date picker. Use it to set up a time limit for bookings.


[Availability]

This is where you can define available time slots for your guests to book. ‍ Press [Add] to create a new slot, and then specify the day of the week and the start & end times.

You can also use the Calendar grid on the left to create your availability slots.


[Appointment duration]

Use this option to define the duration of a single Appointment.

We will divide all the time slots you selected for this Appointment into tiles of this length.


[Add breaks]

Use this option to save some time for breaks between Appointments.

The default here is [No breaks], but you can select a different option using the dropdown menu.


[Book no sooner than]

Use this option to make sure others don’t book your time too far in advance.

The default here is [3 months ahead], but you can select a different option using the dropdown menu.


[Book no later than]

Use this option to make sure others don’t make last-minute bookings.

The default here is [10 minutes before], but you can select a different option using the dropdown menu.
