Schedule your work with a simple drag and drop or let our Assistant handle it for you.

Schedule Work Items manually

The biggest benefit of keeping your To-do drawer open is that scheduling your work becomes super easy. It's all about dragging and dropping them on the available slots in your Calendar.

To schedule work manually with the drawer:

  1. Find a suitable empty slot on the Calendar grid.

  2. Drag a Work Item from the drawer directly onto the selected slot.

  3. And that's it. Your work is now scheduled for the selected time.

You can schedule one Work Item multiple times using this method.

This can be especially helpful when dealing with more time-consuming Work Items. This simply means you will work on each of them across several dedicated time slots.


Schedule Work Items automatically

If the method above is not quick enough or you have a lot of Work Items to consider, you can let Timebook handle your scheduling.

You can use the To-do drawer to schedule your work automatically. Our Assistant will work its magic and book your free time slots as efficiently as possible, considering and Work Items' estimated time.

To schedule work automatically with the drawer:

  1. In your To-do drawer, press [Auto-schedule].

  2. Use the [Scheduling period] dropdown to define how far ahead we can book your free time. We will always try to book the time closest to the current date and time, but if your schedule is busy, it is better to select a longer period.

  3. You can use [Include priority] and [Include due date] to focus auto-scheduling only on specific Work Items. For example, you might want to book your time only for [High] priority and [Urgent] work that is [Overdue].

  4. As you modify the settings, the proposed schedule changes to match your criteria. You can adjust the proposal further by dragging Work Items across the grid.

  5. Press [Schedule] when you are satisfied with the proposal.

If the estimated time of a Work Item is longer than any of your available free time slots, the Scheduling Assistant will book several slots for it.

We call it "item-splitting," and it allows for more flexible scheduling.

If a Work Item doesn't have a defined estimated time, we will use your default Work Item duration setting.
